Make It the Event No One Wants to Miss: How to Maximise Your Christmas Party Attendance

You’ve found the perfect venue, planned the food and entertainment and committed a significant part of your corporate events budget. There is just one small matter left: making sure people actually turn up!

Across the sector, companies, organisers and venues are finding that getting people to commit to and attend their annual corporate Christmas party is becoming more challenging.

The shift away from formal seated dinners towards relaxed, standing events may be part of the reason. Without an empty seat at a table, people can feel their absence will not be noticed. Meanwhile, busy diaries (both professional and personal), hybrid and remote working - and people being more protective of their personal time - mean employees can be more selective about attending out-of-hours events.

If you have already booked your Christmas party venue, how can you turn ‘save-the-dates’ and early expressions of interest into genuine attendance – and get maximum value from your investment?

1. Treat your Christmas party as an internal marketing campaign

Booking the venue is only half the job. Once it’s secured, you need to sell the event to your colleagues.

At its heart, the corporate Christmas party is about showing respect – for people’s time, preferences and energy at the tail end of a long year. Communicating it as a genuine gesture and celebration of your team, rather than an obligation, is key.

So, if you haven’t already, start by identifying the details most likely to appeal to your team’s culture and company brand. Is it a unique London venue they would not usually have the opportunity to visit? Is the location exceptionally convenient? Have you chosen an interactive experience, an unusual food concept or an earlier finish?

Different selling points will work for different company cultures. Some guests will be excited by a glamorous setting and the opportunity to dress up. Others may be far more persuaded by the fact that the venue is ten minutes from the office and the event finishes at a sociable time.

Think about what will make your colleagues say “I don’t want to miss that” – then make it central to your communications.

2. Build anticipation and buy-in around the experience

A calendar entry labelled “Christmas party” can look remarkably like another meeting – and can be almost as easy to decline.

Instead, create an invitation that reflects the venue, theme or style of the event and your company values. This might be a well-designed digital invitation with an RSVP function or even a physical invitation that doubles as a ticket.

Don’t reveal everything at once. You can build anticipation over several weeks by sharing photographs of the venue, introducing the entertainment or offering a glimpse behind the scenes. If you are using a historic or unusual London Christmas party venue, explain what makes it special. A little-known story or exclusive feature can transform a venue from an address into an experience.

Even better, get input early. An anonymous poll in September can work wonders. It shows you’re listening and helps you plan something the majority will look forward to and enjoy.

3. Make the food and drink part of the attraction

Today’s corporate Christmas party catering can be far more exciting than a traditional turkey dinner or standard buffet.

Creative caterers can deliver live cooking, interactive food stations, bespoke menus, champagne towers and branded cocktails. Low- and no-alcohol options are also becoming much more imaginative, reflecting changing preferences among guests – particularly the younger generation of workers.

If your catering has been carefully curated for the event, tell your team about it. “Christmas buffet from 6pm” may not quicken the pulse, but live cooking, a spectacular dessert station or a cocktail created especially for your company just might!

4. Tell people exactly what to expect

Sometimes people decline an event because they have imagined a version of it that does not appeal to them.

If you have moved away from the traditional late-night office party, make that clear. Perhaps the event starts during the working day, combines a company update with an afternoon celebration or finishes early enough for guests to get home comfortably.

Set out the dress code, timings, entertainment and food style. If the occasion is relaxed rather than formal, say so. If it is a chance to dress up and go somewhere spectacular, promote that instead.

The clearer the picture, the easier it is for people to see themselves enjoying the event.

5. Remove the practical reasons for saying no

Location is particularly important for a company Christmas party in London. A journey that looks manageable on a map in summer can feel much less appealing on a cold December evening.

Remind guests about nearby stations, transport connections and journey times. If the venue is within walking distance of the office, consider arranging for colleagues to travel there together.

Sharing this practical information early conveys thoughtfulness, helps remove lingering uncertainty and reassures guests that attending will be straightforward.

6. Ask for a definite RSVP – and keep the momentum going

Don’t base final numbers on the size of your workforce and assume every employee will attend. Ask everyone to respond, whether the answer is yes or no, and set a clear deadline.

Keep the event visible with occasional updates. Reveal an exciting element of the entertainment, share a menu preview or let colleagues know that places are filling up. This creates a little festive FOMO while gently reminding anyone who has not replied.

Tracking responses and final attendance – maybe through a scannable QR code on the door or a party bag - will also provide valuable insight when planning next year’s celebration.

Finally, make sure your investment delivers

A successful corporate Christmas party can strengthen relationships, reward employees and bring people together. However, achieving a strong turnout requires more than simply putting a date in the diary.
