10 Questions a London Venue Expert Would Ask Before Recommending a Venue
Friday 23 October 2026
A venue might look perfect online and yet miss the shortlist. The reasons why will come down to small but significant details. These are the details our team works through before making a recommendation. Here are ten questions that help us turn an initial enquiry into a shortlist worth considering.
Five questions we ask our client looking for a venue:
1. What is the occasion and what would make it successful?
A reception to thank long-standing clients needs a different atmosphere from a product launch or an internal conference. We want to understand who is attending and what they should take away from the event.
If this is an event you’ve held before, details of your previous experiences are hugely valuable. Tell us where you went, what worked and importantly, what you would change. If a dinner felt too formal or networking never quite got going, that tells us more than a request for somewhere “different”.
2. Where do your guests need to be?
“Central London” is a starting point, but we need to know what it means for your audience. Is the priority walking from the office, arriving from St Pancras or staying close to a conference at ExCeL?
We also ask about accessibility, accommodation and the journey home. A beautiful room loses its appeal if part of the group cannot reach it comfortably. Understanding these practicalities lets us suggest a nearby alternative when a tightly drawn search area is limiting the options.
3. What does the budget need to cover?
The venue allowance and the total event budget can be very different figures. We need to know whether your budget includes catering, drinks, production, furniture and VAT, and whether there is any flexibility.
This helps us identify spaces that will work once everything is included. If an impressive venue absorbs most of the budget before dinner is priced, it may leave too little for the experience you want to give your guests.
4. Which requirements are essential and which can move?
A room for 200 people standing may not accommodate 200 for dinner with a stage.
We establish the actual layout and flow, then identify the non-negotiables. These could include privacy, step-free routes, natural light or a particular production requirement. If the preferred date or postcode can move, say so. That flexibility may unlock a stronger venue without compromising the part of the event that matters most.
5. How far along are you and how quickly can you decide?
Have you already approached venues or asked another agency to search? Who needs to approve the shortlist, sign the agreement and authorise the deposit?
These questions help us coordinate the search and avoid duplicating enquiries. They also reveal whether the booking timetable is realistic: a venue that is available today may not be able to wait several weeks for budget approval and confirmation. Knowing your process allows us to ask for suitable hold periods and focus on options you have a practical chance of securing.
Five questions we ask the venue:
6. What can you offer against this specific brief?
We question rates and package inclusions rather than assume the first proposal is the final offer. Our regular conversations and venue relationships help us judge where there may be scope for a more competitive rate or useful added value.
A catering adjustment or additional access time may be more valuable than a small reduction in room hire. We negotiate around what the client needs, while recognising that a popular venue on a premium date may have limited room to move.
7. What exactly is available and on what basis?
“Available” does not always mean an unobstructed route to booking. Another organiser may hold first option, with our client second or third in line. Some venues offer first refusal; others work on a first-come-first served basis.
We ask what the terminology means at that venue, how long an option lasts and what happens if another enquiry progresses. Where there are earlier holds, we explore how likely they are to confirm.
8. What happens if another event is booked alongside ours?
Hiring a room or floor does not necessarily give the client exclusive use of every connecting area. We ask about shared entrances, foyers, bars and facilities, and how simultaneous events might affect noise, privacy or guest movement.
For a hotel bar event, for example, using the bar's own entrance could be part of the agreed experience. We clarify that arrangement, check what other bookings could change and ask for the important details in writing.
9. What could make the programme difficult to deliver?
We look beyond capacity to supplier access, setup time, catering service, room changes and production restrictions. Can equipment be installed before registration starts? Does the proposed AV arrangement support the presentation? Is the route between rooms accessible for everyone?
Sometimes the issue is outside the original parameters: another booking limits rehearsal time or an outdoor reception needs a backup wet-weather plan. We want those details before the client commits, while there is still time to adjust the proposal or choose a better fit.
10. What are the deadlines and payment commitments?
We confirm deposit requirements, payment schedules and the steps needed to secure the space. A substantial payment on signing can catch an organiser out if approval has only covered the event's eventual cost.
We also check when menus, guest numbers and other decisions must be finalised. Clients contract directly with the venue, but we can help clarify the booking process and keep discussions moving. The aim is to make the recommendation actionable, with a clear understanding of what happens next.
The judgement behind the recommendation
A Venue Search London shortlist is the result of these conversations, including the venues we question and ultimately leave out. Our job is to establish which options deserve your time and attention.
As our team put it during a recent discussion, “AI bots can't hold a date for you”. That still takes a conversation, an understanding of the venue and someone following through on your behalf.
