Full-Service Venue or Dry Hire? Which Is Right for Your Corporate Event?

Tuesday 3 November 2026

 Park Village

An experienced in-house events team, catering and working AV can make a venue feel straightforward. A landmark building with separately appointed suppliers might offer a setting guests remember. Both deliver exceptional corporate events, but ask very different things of the organiser...

Before comparing hire fees, establish what you are buying and who will bring the event together. The right choice depends on the occasion, the infrastructure it needs and the time and expertise available to deliver it.

Start by understanding the hire model

A full-service venue typically combines the space with an experienced team and access to catering, furniture and technical support. Hotels, restaurants and purpose-built event venues often work this way. What is included, however, still varies: an in-house AV team may be available for an additional fee, for example, rather than covered by room hire.

With dry hire, you hire the space and arrange other elements separately, within the venue's rules. That does not necessarily mean an empty white studio. A prestigious museum, historic hall or gallery may have an established events team, approved caterers and production partners who work there regularly.

“Blank canvas” describes the opportunity to shape a space; “dry hire” describes the arrangement for hiring it. A venue can offer both, but the terms are not interchangeable. For many corporate planners, the relevant choice is between an integrated venue package and a distinctive building where several suppliers must be brought together.

What does the event need the venue to do?

Begin with the programme. A conference with multiple speakers, breakout sessions and international live streaming needs reliable technical delivery and a team familiar with the timings. A venue that runs comparable events regularly brings practical experience as well as equipment.

Ask who will test presentations, manage microphones, support remote speakers and respond if something fails. The existence of a screen or a strong Wi-Fi signal does not answer those questions.

A client dinner or launch may place greater weight on the surroundings. If a particular building adds meaning to the occasion, arranging additional suppliers can be worthwhile. The decision should follow the event's purpose and the guest experience, alongside the production requirements.

Compare the complete event cost

The room-hire price is only one part of the calculation. As we explore in our corporate event budget article, you need to price what it takes to deliver the event inside that room.

For a full-service option, confirm the package's scope. Which furniture, catering staff and technical equipment are included? Are security, cleaning and cloakroom services covered? Will you need to upgrade the standard lighting or sound?

For dry hire, establish which services the building provides and which must be commissioned. Costs can extend to kitchen equipment, power distribution, lighting, deliveries, installation crew and clearance. Depending on the site and event, there may also be requirements for stewarding or traffic management.

Compare both options against the same guest count, timings and quality expectations. A lower hire fee can be offset by supplier costs; a more expensive package may include equipment or services you do not need.

Catering involves more than selecting a menu

In a venue with an in-house kitchen and team, the food operation is already part of the building's daily routine. The team knows the service routes, equipment and practical limits of the space. That can simplify planning, especially for an organiser fitting the event around another job.

At a dry-hire venue, find out whether catering must come from an approved list. These suppliers may bring valuable familiarity with the building, but you still need to understand what their quotation covers and how their service fits the programme.

Ask where food will be prepared, what equipment must be hired and who provides crockery, glassware, bar staff and clearing. Confirm dietary arrangements and the time needed to serve the group. An attractive menu is one part of a much larger operation.

Count the work as well as the suppliers

Someone must coordinate every element. In a full-service venue, there is usually an established structure for organising catering, room setup and venue operations. Check exactly what your contact manages, especially if you are adding external production or entertainment.

With dry hire, responsibility may be divided between the venue, caterer and production company. Who owns the overall schedule? Who confirms delivery access? If the furniture arrives late, who adjusts the setup plan?

An experienced corporate planner may be comfortable managing those relationships. For a more complex event, a dedicated event manager or production partner could be appropriate. Their fee and the organiser's time belong in the assessment from the outset.

Understand the building before designing the event

A beautiful venue comes with its own operating conditions. Historic surfaces, collections, neighbours and public opening hours can all influence how the event is staged.

Check setup and clearance windows before committing to a production concept. If the building closes to visitors shortly before your reception, suppliers need a realistic plan for installing everything in the available time. Ask about loading access, lifts, storage, power and any restrictions on sound, drinks or fixings.

These questions also apply to full-service venues, particularly where other events share the building. What matters is whether the proposed programme has been tested against the actual space and operating arrangements.

Make the decision based on your resources

A full-service venue, such as a hotel, is often a strong starting point when your programme needs established infrastructure, your planning time is limited or you want fewer separate supplier relationships to manage. It can still offer considerable character, creative scope and a sense of occasion.

Dry hire can make sense when the building itself is central to the event, you have a clear creative or hospitality brief, and the budget and delivery team can support the additional coordination. Experienced approved suppliers can make that process much more manageable.

Before choosing, ask each venue for a proposal showing inclusions, additional costs and responsibilities. Walk through the programme on a site visit and identify who will deal with each handover. This reveals far more than comparing photographs or headline prices.
