1. Don’t Just Think Big — Think Right

Make sure the space will photograph well, and think about how your event will look at scale — especially if you're planning media or social coverage.

Feeding 500+ guests efficiently isn’t easy. Check the venue’s catering experience for large events, whether they have in-house catering or preferred suppliers. Ask how they handle dietary needs, drinks service, and the speed of serving large tables or buffet queues.

 

6. Transport & Accessibility

Central locations are ideal, but not always essential if you’re offering transport or hosting over a weekend. Just make sure the venue is easily accessible by public transport and has clear directions, parking options (if needed), and step-free access for large groups or suppliers.

 

7. Breakout Areas & Quiet Space

Big events can be overwhelming — so think about areas for guests to take a break, make a call or have a quiet conversation. Venues with built-in lounges, foyers or terraces can help create a more relaxed and sociable flow.

 

8. Budgeting for the Extras

Large venue hire is just one part of the cost. Consider production, security, furniture, staffing, insurance, and post-event cleaning when budgeting. Ask the venue for a breakdown of what’s included — and what’s not — to avoid last-minute surprises.
