Our Top Tips When Organising your Corporate Summer Party…

With warm summer evenings forecast for the foreseeable future (we hope!) Here at VSL we are delighted that summer party season has well and truly arrived. As a memorable occasion in any team’s social calendar, we know the importance of hosting a summer party that will be enjoyed by all.

Having helped many clients book summer events across the capital, we have compiled this insightful list of top tips to help you successfully plan your corporate summer party this year…

Location – 

Consider where your office is located and work back, how far do you feel people would be willing to travel? Remembering that in central London, you are never that far from a major train station, tube line or bus stop.  The reality of it is, if people know they are going to receive great food, flowing drinks and a vibrant summer party setting, you can almost guarantee they would be willing to make the journey - even if that means detouring from the usual commute slightly!

Get the numbers right – 

In every sense of the word. Have you considered your budget? Your expected number of attendees? What about any additional elements such as AV and entertainment? Check that you have everything you need before you begin the search and ensure you have covered any areas you are planning to purchase to deliver your summer event. Remember, things change and numbers fluctuate, so it is vital to have a clear budget in mind. This allows you to work towards total financial control whereby you can prioritise the most important aspects of the event and allocate funds accordingly.

Know your audience – 

Although a standing drinks reception may sound appealing to the majority, nowadays many corporates are opting for a more social or activity-based venue. We have seen a rise in popularity of this style of venue and offering guests some form of interactive entertainment or team participation activity; where people can get involved, rather than the more traditional standing around. Of course, every company is different, this is why it’s important to consider what your attendees would enjoy most.  

What about the weather? 

It goes without saying The Great British Summer is somewhat unpredictable. We understand this can be frustrating because unlike other elements of your event, this is entirely out of your control! Nevertheless, with proper preparation and planning, you can organise an event that’s great for all your guests come rain or shine, the main word here is contingency. Have a back – up plan! Luckily many venues offer a wet weather space in case of such situations and if not, it may be necessary to consider a venue with both covered and uncovered areas, just in case.
